Detailed Policies on Using Library Spaces
Library Classroom
Located on the first floor of the Library, adjacent to the Reference area, the Library Classroom is used for in-library teaching.
Room Availability & General Use
- Use of the Library Classroom is at the discretion of the Library director or assistant director.
- Availability is first come, first serve.
- May be reserved by faculty for occasional/ad hoc curriculum-based instruction but not recurring classes or meetings.
- The room is equipped with a networked computer, projector and white board.
- Please return the Library Classroom in its original configuration upon leaving.
Priority
- Library instruction and meetings.
- Academic instruction.
- Groups seeking quiet study space.
- Individuals seeking quiet study space .
Reservations
- Faculty may request the Library Classroom by completing the Library Classroom Reservation Form .
- Students may use the room when not otherwise reserved on a first-come, first-serve basis.
- Students may not reserve the room.

Library Conference Room
The Library Conference Room is located on the first floor of the Library, behind the Reference area.
Use of the Library Conference Room is:
- At the discretion of the Library director or assistant director
- First come, first serve availability
- Please contact the Library director or assistant director for more information
Exhibit Spaces
Utica College Library invites the campus community to use Library Exhibit Spaces for display purposes.
Exhibit Criteria
- Relate to the mission of the library and/or the college.
- Be sponsored by the library or by a faculty, staff or administrator.
- Promote the materials, services and functions of the library or college.
- Enrich the life of the college and community it serves.
- Provide an opportunity to reinforce our ties between the library, college and the community
- Be non-commercial in nature.
- Fund raising ads (e.g., sales to benefit campus clubs and organizations) are not allowed.
- Political or campaign announcements (campus, local, state or national) are not allowed.

Special Collection Room
The Special Collections Room, located on the second floor of the Library, houses two collections: the Jocelyn Romano Candido Rare Book Collection and the Harry F. Jackson Welsh Collection.

- Use of the Special Collections room is granted by permission and prior arrangement of the Library Director
- Those seeking use of the Special Collections room should submit a request to the Library Director at least 48 hours in advance of the desired appointment time
Materials Use Policy
- Use of Special Collections materials is granted by permission and prior arrangement of the Library Director
- Those seeking use of Special Collections materials should submit a request to the Library Director at least 48 hours in advance of the desired appointment time.
- Utica College librarians are responsible for retrieving materials from or opening Special Collections
- Special Collections materials are available for use only when a librarian is on duty
- Researchers desiring use of Special Collections materials must furnish a current ID card or equivalent identification, which will be held at the Circulation Desk until the borrowed material(s) are returned
- Special Collections materials are in-library use only
- Returned materials are checked by staff then promptly shelved by a librarian
Special Collections Materials Care
Special care must be taken when using materials in Special Collections:
- Materials may not be marked
- Materials may not be forced open causing damage to the spine
- Gloves, provided by the library, may be required for handling certain materials
- Librarians may request researchers use only pencil when working with Special Collections materials
Photocopying
- Due to the fragility of these materials, photocopying is permitted only for microform materials
- Questions regarding photocopying of all other Special Collections materials may be directed to a librarian.
Walter D. Edmonds Room
The Walter D. Edmonds Room, located on the second floor of the Library, houses Mr. Edmonds personal library and correspondence.
Use Policies

- Food is not permitted in the Library, including the Edmonds Room.
- Beverages in closed containers are acceptable
